Key Responsibilities and Duties
The Executive Support Coordinator is responsible for providing high-quality executive and administrative support to the Chief Executive, Board of Trustees, and senior leadership team, helping to ensure the effective operation of Durham SU. In particular, the Executive Support Coordinator will:
- Maintain excellent working relationships with colleagues across Durham SU, Durham University, Board of Trustees and external stakeholders.
- Provide effective coordination and administrative support across executive, governance, and people functions, ensuring information, resources, and communications are managed effectively.
- Support the development and implementation of organisational policies, procedures, and processes, particularly within executive support and people-related areas.
- Provide advice, guidance, and administrative support on HR processes, including recruitment, onboarding, employee records, staff engagement activities, and other people-related initiatives.
- Providing proactive executive support to the leadership team, including diary management, meeting coordination and administrative support.
- Coordinating Board and committee governance processes, including preparing agendas, distributing papers, taking accurate minutes, tracking actions, and maintaining governance records.
- Act as a professional ambassador for Durham SU, demonstrating discretion, confidentiality, and a commitment to supporting an inclusive and positive working environment.
The Executive Support Coordinator is accountable for:
- Line managing and supporting a student staff member within the Central Services team, including agreeing objectives, providing regular support and feedback, supporting development opportunities, and ensuring effective delivery of agreed tasks and priorities.
- Maintaining accurate, confidential records and documentation across governance, executive, HR, and Central Services functions, ensuring information is managed appropriately and securely.
- Supporting continuous improvement of administrative, governance, and HR processes to improve efficiency, consistency, and the experience of staff, trustees, and stakeholders.
- Promoting the values, reputation, and strategic objectives of Durham SU through professional, organised, and collaborative working.
