Equipment hire

Durham SU equipment is only available for hire by ratified student groups. If you are a campaigning group that is not registered with the SU, you can still hire equipment. However, you must complete a risk assessment form for the activity in which the equipment will be used for and submit it to dsu.engagment@durham.ac.uk. You do not have to complete a trip & event form. 

Whilst the Students’ Union will try to honour all equipment bookings, we will not be held responsible for equipment which is not available due to another student group not returning it on time.

Items cannot normally be hired for longer than 48 hours. If there is a special reason for this please contact reception who will advise.

Should equipment be returned late, the Students’ Union reserves the right to charge a student group £10 a day until it is returned to the Union.

Items will be checked by reception when returned; any issues will be noted and reported via email to the Student Activities Manager immediately.

The equipment is covered by the Students’ Union’s insurance. This includes an excess of £100 and therefore should equipment be damaged by a student group, the Union reserves the right to charge the student group for the repair or replacement of the item up to £100.

Should equipment be damaged by a student group, the Union reserves the right to refuse the student group the right to hire equipment for the remainder of the academic year.

Durham SU student groups can loan out hired equipment to other Union student groups and the existing insurance arrangements will remain valid. However, the following conditions need to be met:

  • You will need to have a sign in/sign out system in place so the equipment can be traced.
  • When any hired equipment is returned groups must check the equipment for damage.

You will need to communicate to the group (in writing) receiving the equipment that they will be responsible for the cost of replacing or repairing the equipment in the event of loss or damage (or at the very least the amount of the policy excess) before any equipment is provided.

If a Durham SU student group wishes to loan equipment to students who are not connected to Durham SU for an activity, the third party will be responsible for loss or damage to the equipment and should insure the equipment appropriately. The third party should be asked to arrange their own insurance and confirm they will reimburse the Union for loss or damage in writing as a loaning agreement before any equipment is provided.

Where the equipment is loaned to external groups cover will continue to apply provided someone from Durham SU is accompanying and staying with the equipment. If no-one from the Union is accompanying and staying with the equipment, the policy will not provide cover.
